3. Booking & Payment

3.1 Booking Confirmation

A booking is considered confirmed only after:

Required documentation is provided
Required payment or deposit is received
Written confirmation is issued by Palmera Tours

3.2 Payment Terms

Deposits may be required at the time of booking
Full payment deadlines will be provided at booking
Failure to make payment on time may result in cancellation
Some bookings may be fully or partially non refundable

Prices are subject to change until confirmed.

All prices depend on availability
Prices are not guaranteed until booking is confirmed and payment is received
Airline, hotel, tax, government fee, or exchange rate changes may affect pricing before confirmation
Palmera Tours reserves the right to correct pricing errors, typographical mistakes, or inaccurate information before final confirmation

Once full payment is received and confirmation is issued, the agreed price will be honored unless otherwise stated in writing.

3.3 Traveler Information and Documents

Travelers are responsible for providing accurate personal information exactly as shown on their passport or official travel documents.

This includes:

• Full legal name

• Date of birth

• Passport details

• Contact details

• Any other booking information requested

Each traveler is solely responsible for ensuring they have:

• A valid passport

• Required visas or travel authorizations

• Any health or entry documentation required by the destination

• Compliance with entry, transit, and exit requirements

Palmera Tours is not responsible for denied boarding, denied entry, delays, missed travel, or additional costs caused by incorrect, incomplete, or late traveler information.

4. Cancellations & Refunds

4.1 Client Cancellations

Cancellation requests must be submitted in writing.

Refunds, if applicable, are subject to:

Supplier policies
Airline policies
Fare rules
Hotel policies
Tour operator conditions
Administrative or service fees where applicable

Some bookings may be non refundable or may carry cancellation penalties.

4.2 Supplier Changes or Cancellations

Airlines, hotels, transportation providers, and other suppliers may change or cancel services at any time.

These changes may include:

• Flight schedule changes

• Hotel substitutions

• Service interruptions

• Route changes

• Tour changes

• Reduced inclusions

If a supplier changes or cancels part of a booking, Palmera Tours will make reasonable efforts to assist the traveler, But cannot guarantee a specific alternative, refund amount, or compensation unless provided by the supplier.

4.2 Refund Processing

• Approved refunds depend on the supplier’s refund policy

• Refund timing depends on the supplier or payment provider

• Palmera Tours is not responsible for delays caused by third parties in processing refunds

5. Third Party Suppliers

Palmera Tours acts only as an intermediary for travel services provided by third parties.

Palmera Tours is not the direct provider of flights, hotels, transport, tours, insurance, or visa issuance services.

Accordingly, Palmera Tours is not liable for:

• Acts or omissions of third party suppliers

• Delays or cancellations

• Schedule changes

• Service failures

• Overbookings

• Insolvency or closure of suppliers

• Loss, injury, damage, or expense resulting from supplier actions

All bookings remain subject to the terms and conditions of the relevant supplier.

6. Travel Insurance

Palmera Tours strongly recommends that all travelers purchase comprehensive travel insurance.

Travel insurance should ideally cover:

• Trip cancellation

• Medical emergencies

• Travel delays

• Lost baggage

• Unexpected interruptions

Travel insurance is the traveler’s responsibility unless otherwise stated in writing.

7. Force Majeure

Palmera Tours shall not be liable for any delay, cancellation, loss, damage, or additional expense resulting from circumstances beyond its reasonable control.

• Natural disasters

• Acts of God

• Government actions

• Border restrictions

In such cases, refunds, credits, or alternatives will depend on the policies of the affected supplier.

8. Limitation of Liability

Palmera Tours’ total liability, if any, shall be limited to the amount paid directly to Palmera Tours for the specific service giving rise to the claim.

9. Payment Disputes and Chargebacks

If a traveler has a concern regarding a booking or payment, they agree to contact Palmera Tours first to allow a reasonable opportunity to review and resolve the matter.

Unauthorized or unjustified chargebacks on valid confirmed bookings may result in:

• Cancellation of services

• Denial of future bookings

• Recovery of associated costs where permitted by law
